Estimation of video conferencing cost efficiency

Let’s assume that 2 university lectors go monthly on a trip to another part of the country to hold a 2-day workshop.

Expenses for one teacher:

  • flight tickets ~ $1000.
  • hotel ~ $200.
  • transfers ~ $100.
  • travel allowance ~ $200.
Expenses for organization of the event:
  • rental of a meeting room for the workshop ~ $1000
Total: an average of $2500 is spent per event.

A one year VideoPort VCS 3.0 license with an average number of services costs $5,995 (minimum price – $2,495).

As a rule by using video conferencing the university cuts the number of business trips by 50%.

  • The product payoff period: $5,995 / ($2,500*50%) = 5,8 months
  • Money saved per year: ($2,500*50%)*7,2 = $9,000

Don’t forget to add here all the time saved, convenience for the participants and wonderful partnership development prospects all over the world!

How you can earn more by using video conferencing:

  • Make paid workshop attendance – $100 per invitation (in total there will be 15 participants).
  • Direct expenses for the workshop – $0
  • The product payoff period: $5,995 / ($100*15 = 4 months
  • The University’s profit per year: $100*15*8 = $12,000
